Beauty Parlour

For a ladies' beauty parlour or a bridal make-up studio. Most of the day is walk-ins for threading, waxing and a facial, rung up in minutes. The money is in the longer work: bridal make-up, hair spa, packages of facials. Those are booked ahead, often with an advance. Set up before your first client

The owner does these, in this order. A new parlour starts lean. On day one you have only the counter, your services and your staff, and you switch on the rest when you need it.

  1. Pick what you run Settings > Salon. A parlour that books brides and long services switches on Appointment Book. Switch on Book by Stylist if clients ask for a particular beautician, and Reminders & No-shows if you message clients before they come. Switch on Stylist per Bill Line if one bill can have threading by one girl and a facial by another. Leave Academy off unless you teach.
  2. Set the day on the same page. Under The Day set your opening and closing hours, the Slot Length and the Default Service Length. Under Late & Missed set the No-show Grace. Under Reminders set the Reminder Lead Time in hours. A new business starts with 9 to 21, 15-minute slots, 30 minutes per service, 15 minutes' grace and 3 hours' lead time.
  3. Enter your rate card Setup > Treatments & Products. Enter each service with its price and its usual minutes: eyebrow threading, full-arm waxing, fruit facial, hair spa, bridal make-up. Enter the creams, shampoos and kits you sell over the counter too. The groups Hair Care, Skin Care, Nail Care, Spa & Massage, Bridal and Retail Products are already there, with a Session unit.
  4. Add your team Setup > People > Therapists. File each person under her role: Beautician, Stylist, Therapist, Receptionist, Helper / Housekeeping or Salon Manager. Only then can a booking and a bill line name who did the work.
  5. Check the cancellation reasons Setup > Cancellation Reasons. A new parlour already has Client cancelled, Client rescheduled, Stylist unavailable, No show and Shop closed. Add a reason of your own if you need one.
  6. Create a login for each person (see Who signs in).
  7. Run one test day. Bill a walk-in threading at the counter. Book a test bridal trial, take a small deposit on it, finish it and bill it. Check that the deposit came off the bill, then cancel or remove the test entries.

How the work flows

Each step says who usually does it and what prints. The booking steps need the Appointment Book on. A parlour that runs walk-ins only goes straight to the counter.

Walk-in for a quick service

A client asks for threading or waxing. With no appointment book, ring it up straight on the Counter. With the book on, Bookings > Walk-in puts her on the Day Book already In chair, so the board shows who is busy. A walk-in never takes up a future slot.

Book the longer work

New Appointment. Search for the client, or add her with New Client, which then offers to book her. Add each treatment, pick the time and, with Book by Stylist on, the beautician. Set How it came in to Walk-in, Phone or Online. Use Notes for allergies or the look the bride wants. If the beautician is already busy then, the form offers the next free slot.

Take the bridal advance

Open the booking and tap Take Deposit. Enter the amount and how it was paid (cash or a bank account). The advance stays on the booking, and the button then shows Deposit paid with the amount. You can take more later. When the visit is billed, the advance comes off the bill and the counter collects only the balance.

Remind, and chase no-shows

With Reminders & No-shows on, Bookings > Reminders has two tabs. Due lists bookings starting soon that nobody has messaged. No-shows lists clients from the last week who never came. Send one message at a time, or Send All, over WhatsApp. A client stays on the list until her message actually goes.

The Day Book shows the day by time, with a column for each beautician. Each booking moves from Booked to Confirmed, Waiting, In chair and Done. If a treatment was not done, Skip it, and it will not reach the bill.

Once the visit is Done, tap Bill at Counter. The treatments actually done go to the counter, and you add any cream or kit she buys. With Stylist per Bill Line on, each line keeps who did it. A line taken off a prepaid package is not charged.

No-shows and cancellations

Once the grace minutes have passed, No-show appears on a booking. The app never marks a client absent by itself. Cancel asks for a reason. Both go into the parlour's own figures, which is why only a login with Mark No-show & Cancel can record them.

A booking is a plan, not a bill. What is charged is what was actually done, less any advance already taken, and each line is credited to the person who did it.

Who signs in

Give every person her own login. When you add a user, the form first asks what the person does. That choice decides the screen she opens on, her phone's bottom bar and the switches she starts with. You can change any switch afterwards.

  1. Open the user form Settings > Users > Add.
  2. Pick the seat in Does and link her staff record in Contact. The role on her staff record suggests the seat. A Beautician, Stylist or Therapist gets Stylist / Therapist, a Receptionist gets Front Desk and a Salon Manager gets Salon Manager.
  3. Set the login: user name and password (email on a cloud business).
  4. Review the switches under May do, add or remove any, and save.

The Front Desk and the Salon Manager may also give a discount on the bill in front of them. A beautician's login is kept away from the till on purpose. If a login can mark its own late arrivals as no-shows, or move a commission to itself, it can quietly rewrite its own numbers. That is why those are separate switches.

See the Whole Day appears only with Book by Stylist on. If the parlour books the shop rather than a named girl, every staff login sees the whole Day Book. With Book by Stylist on, a beautician sees only her own bookings until you tick See the Whole Day.

Services and the rate card

A service is an item like any other, so it is priced, taxed and discounted the same way, and a product sells on the same bill. Give each service its usual minutes. That is what lets the Day Book hold a chair for 20 minutes for a threading and three hours for a bridal. A service with no time of its own takes the Default Service Length.

Prices are copied onto a booking when it is taken. If you raise the price of a facial next month, a bride already booked keeps her quoted price.

Packages and prepaid cards

A package such as 6 facials or bridal package: trial + wedding day + reception, or a monthly card, is the same record a fitness club sells, labelled here as a Card or a Package. Cards and packages are on by default for a beauty parlour. Sales > Cards is the register of everything sold. From a row you can Renew, Freeze or Resume, print the Receipt, send a WhatsApp Reminder or Cancel. How a card is set up and sold is described in Gym.

Online booking

With the Appointment Book on and an online store, switch on Online Booking (Salon) under Settings > Online Sale. Clients open your store link and tap Book an appointment. They pick treatments, a beautician (or Any stylist), a day and a free time, and the booking lands in your Day Book. Clients see and cancel their own bookings under My appointments. Academy

A parlour that runs a bridal make-up or beautician course switches on Academy under Settings > Salon. Cards and packages must be on. An Academy menu then holds New Student, Enrol Student, Students, Batches, Attendance, Courses, Course Dues and the Academy reports. Students can pay in parts and get a certificate when they finish. Who may enrol follows Enrol & Renew on the Gym group, and Course Dues follow View Revenue. See Academy.
